Data protection information on the collection of passports

When travelling in international territorial waters or countries outside the Schengen area, we collect your passport in order to comply with visa, entry and exit requirements of the respective country. We would like to inform you about this under data protection law.

Who is responsible and what are the contact details of the data protection officer?

TUI Cruises GmbH, Heidenkampsweg 58, 20097 Hamburg, Germany, is responsible for processing your data. You can contact the data protection officer by post at the same address or by e-mail at datenschutz@tuicruises.com.

What is the legal basis and purpose of the processing?

The legal basis for the collection of your passport is the fulfilment of the service obligations arising from the travel contract concluded with you in accordance with Art. 6 para. 1 lit. b) GDPR. Passports will be collected by our appropriately trained on-board staff, kept safe and returned to you at the end of your journey. The purpose of this is to fulfil the visa, entry and exit requirements of destination ports and thereby enable your entry or exit.

How long will my data be stored?

We will keep your passport safe until the end of your cruise. If it is no longer necessary for us to keep your passport while you are travelling, you will receive it back sooner. We do not store copies of your passport

To whom will my data be transmitted?

We will show your passport to the port authorities responsible for entry and exit during your trip. Trained personnel are always present.

Will my data be transferred to third countries (outside the European Economic Area)?

For voyages requiring the collection of passports, the identity documents will be submitted to the port authorities in countries outside the European Economic Area for processing.

Is it necessary to provide my data?

In some countries (e.g. Singapore) the collection of passports is required by the authorities. In other countries, the collection of passports is a service to make the check as pleasant as possible for you. As a rule, you do not need to be present in person: We therefore present your passport to the authorities early in the morning or late at night. However, as official regulations change and we are therefore unable to guarantee that the trip you have booked will take place, we always collect our guests' passports. Is there automated decision-making including profiling?

Automated decision-making, including profiling, does not take place.

What data protection rights do I have?

  • In accordance with Art. 15 GDPR, you have the right to receive information about the data we process about you.
  • You have the right to have incorrect data corrected by us in accordance with Art. 16 GDPR.
  • You have the right to request the erasure of your data in accordance with Art. 17 GDPR.
  • You have the right to restrict the processing of your data by us in accordance with Art. 18 GDPR.
  • You have the right to data portability in accordance with Art. 20 GDPR.
  • You have the right to object to the processing of data under the conditions of Art. 21 GDPR.
  • If you believe that we are violating data protection regulations, you have the right to lodge a complaint with a supervisory authority in accordance with Art. 77 GDPR.
